How to save an email as an HTML File on a Mac

1. Open the email draft and send a test email to your email address

2. Save as HTML File

  • Open the test email in your inbox
  • Click File in the top menu
  • Select Save As... from the dropdown menu.
  • In the Save As dialog box:
    • Choose a location where you want to save the email.
    • For the Format option, choose Web Page (.html) or Raw Message Source depending on the email client you are using.
  • Click Save

3. Verify the HTML File

  • Navigate to the location where you saved the file.
  • Double-click the file to open it in a web browser and check that the formatting, images, and content are intact.

Alternatively, if you're using an email service like Gmail or Outlook, you can also:

4. Save from Web Browser (Gmail or Outlook)

  • Open your email in your web browser.
  • Right-click the body of the email (away from links or images).
  • Choose Save As... or Save Page As....
  • Select the Webpage, Complete option and click Save.

This method will save the email as an HTML file that can be viewed offline, complete with images and formatting.

Troubleshooting saving test emails as HTML files on Mac

Here are a few tips:
  1. Ensure that you’re saving the entire email: When saving from your email app or browser, make sure to select "Save as Web Page" or "Save as HTML," ensuring the complete content is being saved.
  2. Try using a different browser or email client: Some browsers or email clients may not handle saving HTML files the same way. Switching to another browser like Chrome, Safari, or Firefox might help.
  3. Clear cache and cookies: If the error persists, try clearing your browser’s cache and cookies, then attempt the save again.
  4. Disable Extensions: Sometimes browser extensions (like ad blockers) can interfere with saving pages. Try disabling any extensions temporarily and attempt to save the file again.

  5. Use the "Print to PDF" option: If saving as HTML is giving trouble, you can try using the "Print to PDF" option. This won’t give you an HTML file, but it will save the email’s content in a shareable and readable format.

  6. Check Email App Settings: If you’re using an email client like Apple Mail or Outlook, check the app’s settings to ensure it’s displaying the full email, including images and external content, before attempting to save it.

  7. Right-click on the Email Content: In some cases, right-clicking directly on the email content in the browser window or email client may give you additional save options like "Save as HTML" or "Download Page Source."

  8. Check File Location: Make sure the file isn’t being saved to an unintended location. Double-check your Downloads folder or the location you’ve chosen to save the file.

  9. Ensure the Email is Fully Loaded: Before saving, make sure all images and external content have fully loaded in the email. Sometimes saving too quickly may result in a partial or blank file.
